How we collect, use and protect the information you give us when you request a quotation or contact Ashford Energy UK. Written to be read, not to hide behind.

Ashford Energy UK Ltd respects your privacy. We collect only what we need to answer your enquiry and quote for your equipment, we do not sell your information, and you can ask us to delete it at any time.

Who we are

Ashford Energy UK Ltd ("Ashford", "we", "us") is a company registered in England and Wales, company number 17300395. We design, manufacture and supply load bank systems worldwide.

We are the data controller for the personal information described in this policy. You can reach us at sales@ashford.energy or +44 7723 212134.

What information we collect

We only collect what we need to answer a technical enquiry or prepare a quotation. Typically that is:

  • Contact details you give us — name, company, email address, telephone or WhatsApp number, and country.
  • Enquiry details — the equipment you are specifying: capacity, voltage, frequency, quantity, application and any notes you add.
  • Live chat messages — anything you type into the chat window on our site.
  • Technical data — your IP address, browser type and pages viewed, collected through cookies and similar technologies where those are active (see Cookies below).

How we collect it

Our quotation form. The request-a-quote form on this website does not send your details to a database on our servers. When you press "Send via WhatsApp" or "Email this RFQ", the form simply assembles the information you typed into a message and opens it in your own WhatsApp or email application. Nothing is transmitted until you choose to send that message. We receive your information only when you send it, and it then sits in our WhatsApp account or our email inbox.

Direct contact. If you email, telephone or message us on WhatsApp, we hold that correspondence.

Live chat. Our chat widget is provided by tawk.to. Messages you send are processed by tawk.to on our behalf.

Automatically. Standard web-server and analytics information, as described under Cookies.

Why we use it, and our lawful basis

We use your information to respond to your enquiry, prepare and send quotations, fulfil and support orders, and keep records for tax and warranty purposes.

  • Steps prior to entering a contract — where you have asked us to quote or supply equipment.
  • Legitimate interests — to reply to business enquiries, maintain customer records and improve our website, balanced against your privacy.
  • Legal obligation — where we must keep records, for example for accounting and export documentation.
  • Consent — for non-essential cookies and for any marketing email, which you may withdraw at any time.

We do not sell your data

We do not sell, rent or trade your personal information. We do not use your enquiry details for automated decision-making or profiling.

Who we share it with

We share personal information only with organisations that help us run the business, and only as far as they need it:

  • tawk.to — live chat provider, processes chat messages.
  • Google — Google Fonts serves typefaces to your browser (which discloses your IP address to Google), and Google Analytics and Google Ads may set cookies when active.
  • Our hosting provider — stores and serves this website.
  • Manufacturing and logistics partners — where necessary to build, certify, ship and clear your order, including our authorised manufacturing partner Summit Power Company for Electrical Industries.
  • Professional advisers and authorities — where we are required to do so by law.

International transfers

We supply equipment worldwide, so your information may be transferred outside the UK and the European Economic Area — for example to a service provider or to a manufacturing or logistics partner involved in your order. Where we do this, we take steps to ensure your information remains protected by an appropriate safeguard, such as standard contractual clauses or an adequacy decision.

Cookies and tracking

Cookies are small files placed on your device. This site uses:

  • Necessary — required for the site to function and to remember your preferences. These are always active.
  • Live chat — set by tawk.to so the chat window works and remembers your conversation.
  • Analytics — where Google Analytics is active, to understand which pages are useful. These are not necessary for the site to work.
  • Advertising — where Google Ads is active, to measure whether an advert led to an enquiry.

You can block or delete cookies in your browser settings. Blocking necessary cookies may stop parts of the site working. You can also opt out of Google Analytics using Google's browser add-on.

How long we keep it

We keep enquiry correspondence for as long as needed to deal with the enquiry and for a reasonable period afterwards in case you come back to us. Where an enquiry becomes an order, we keep the records for as long as required for warranty, product-liability and tax purposes, which is generally at least six years. We delete or anonymise information when it is no longer needed.

Your rights

Under UK data protection law you have the right to:

  • Ask what personal information we hold about you and receive a copy.
  • Have inaccurate information corrected.
  • Ask us to delete your information where there is no good reason for us to keep it.
  • Object to, or ask us to restrict, how we use your information.
  • Ask us to transfer your information to another organisation, where technically feasible.
  • Withdraw consent at any time, where we relied on consent.

To exercise any of these, email sales@ashford.energy. We will respond within one month. There is normally no charge.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the UK's supervisory authority, the Information Commissioner's Office (ICO), at ico.org.uk, or to the supervisory authority in your own country.

Security

We take reasonable technical and organisational measures to protect your information. This website is served over an encrypted HTTPS connection. However, no method of transmission over the internet is completely secure, and email and messaging apps are not encrypted end-to-end by us — please do not send us confidential commercial information you would not want disclosed.

Changes to this policy

We may update this policy from time to time. The date below shows when it was last changed. If we make a significant change we will make that clear on this page.
